FREQUENTLY ASKED QUESTIONS
Does your firm have standard timeframes for claim handling and reporting? Our standard procedures called for contact with all relevant parties within 24 hours (preferably the same day) of receipt of the claim. If the claim is a property or auto physical damage claim, our procedures call for an inspection by our adjuster within 48 hours of receipt of the claim. With regard to reporting, our procedures call for sending out a first report within ten days of receipt or the claim. After the first report is sent out, status reports are then sent to the client every 30 days thereafter until the claim is closed. If our clients have other reporting standards we will modify our procedures to conform to their standards.
What procedures do you have in place for supervision of your files? All open files are under constant supervision of a branch manager or supervisor. Our system produces various diary reports to assist in file supervision. All reports and work product are reviewed by the manager/supervisor prior to their being transmitted to our clients. Performance audits are conducted by Home Office personnel on a regular basis.
How does your firm insure compliance with the various applicable statutes and regulations governing adjusting practices? All branch managers are charged with the duty of insuring compliance with the various legislative acts and insurance department regulations, such as unfair insurance practices acts, unfair insurance claims practices regulations, motor vehicle physical damage appraisal acts, etc. This would include compliance with response timeframes set out by the various insurance department regulations, setting deadlines for such activities as acknowledgment of claims, completion of investigation, status notices, statute of limitation notices, etc. Where prescribed by regulation, we automatically send status letters to insureds and/or claimants within the 30/45 day deadlines. These letters go out automatically on all full adjustment files as long as we maintain an open file, unless the client advises that they will handle this task. Regulatory compliance is a major component of our daily claims handling.
Are your adjusters and appraisers licensed? All adjusters are licensed in those states which require adjuster licensing. In states such as Delaware, where individual licenses are required for individual lines of insurance, all adjusters are licensed in those lines of insurance in which they handle claims. In those states which require continuing education for license renewal, our adjusters acquire the necessary credits within the mandated timeframes. All physical damage appraisers are licensed in states where licensing is required.
